Automate client onboarding with Claude AI and turn hours of repetitive admin into a few minutes using the tools you already have.
If every new client means manually writing welcome emails, preparing kickoff notes, creating checklists, and moving information between tools, this workflow can save you hours every month.
In this video, I show you how I built a client onboarding system with Claude Projects, Notion, and Gmail. I paste in a client’s intake form responses, and Claude creates an onboarding package with an intake summary, first-week checklist, kickoff agenda, prep notes, and a personalized welcome email draft.
You’ll see how to set up a reusable Claude Project, connect the tools you already use, and give Claude examples of your real writing so the output sounds like you—not generic AI. I also walk through the guardrails I use so Claude doesn’t invent missing client details or create client-facing materials before I’ve reviewed and approved them.
The result? My demo takes around 3–4 minutes end to end, including roughly 90 seconds of human review. Compared with an estimated 2–3 hours of manual onboarding per client, that could mean getting 6–9 hours back each month if you’re onboarding three clients.
The goal isn’t to remove the human relationship. It’s to remove the repetitive admin so you have more time for the work that actually needs you.
